Terms & Conditions

Coached by Mils

1. Introduction

These Terms and Conditions govern the provision of personal training services and online fitness programmes by Coached by Mils ("we," "us," "our"). By booking or purchasing any service, you ("the Client") agree to be bound by these terms.

 

2. Services Provided

We offer the following services:

  • 1:1 Personal Training: Fully personalised in-person training sessions in Norwich

  • Online Programmes: Bespoke fitness programmes created specifically for you and delivered via our app

  • Nutritional Coaching: Online or in-person nutritional coaching; check your package details for specific details. Our standard cancellation policy applies

  • Expert in Women's Health Seminars and Trainings: Educational seminars and training sessions focused on women's health and fitness

  • Speaking Engagements: Available to speak at local events, corporate wellness programmes, and community gatherings

For seminars, trainings, and speaking engagements, additional terms and conditions will be included on your bespoke quotation.

All services are tailored to your goals, fitness level, and any limitations you disclose.

 

3. Booking and Payment

3.1 In-Person Training

  • Personal training sessions are subject to availability at our training facility in Norwich

  • Specific pricing, packages, and payment terms are determined by the facility where training takes place

  • Payment is required in advance to secure your regular training times

  • All fees must be paid in full before services are rendered unless otherwise agreed in writing

3.2 Online Programmes

  • Online programmes are purchased through the Coached by Mils app

  • Payment is processed at the time of purchase

  • Access to your bespoke programme will be delivered within one week

 

4. Commitment Period

  • A 3-month minimum commitment applies to in-person personal training packages

  • This commitment period helps you build momentum and achieve meaningful progress towards your goals

  • Online programmes do not require a minimum commitment unless specified at purchase

5. Cancellations and Rescheduling

5.1 Client Cancellations

  • Clients must call to cancel in-person sessions to ensure that Mils has seen the cancellation

  • 24 hours' notice is required for cancellations or rescheduling of in-person sessions

  • Sessions may be rescheduled if cancelled more than 24 hours in advance; they must be rebooked within the same month and are subject to availability

  • Failure to comply with this clause will result in the session being charged in full

5.2 Trainer Cancellations

  • In the unlikely event we need to cancel a session, we will provide as much notice as possible and offer alternative times

6. Health and Safety

6.1 Client Responsibilities

  • You must complete a health screening questionnaire before commencing training

  • You must disclose any medical conditions, injuries, or physical limitations that may affect your ability to train safely

  • You must inform us immediately if your health status changes during the training period

  • You are responsible for consulting your GP or medical professional before beginning any exercise programme if you have any concerns about your health

6.2 Liability

  • Personal training involves physical exertion and carries inherent risks

  • Whilst we take every precaution to ensure your safety, you participate in all training sessions at your own risk

  • We are not liable for any injury, loss, or damage sustained during or as a result of training, except where caused by our negligence

  • You are advised to have appropriate personal insurance cover

7. Support and Communication

  • Check the level of support included in your package for details on access to guidance outside of scheduled sessions

  • Support may be provided via email, direct message, or the Coached by Mils WhatsApp group, depending on your package

  • We aim to respond to queries within 48 hours during normal business hours (Monday–Friday)

  • Support does not constitute additional training sessions

  • We will add you to our newsletter for tips to stay on track and more

  • WhatsApp Community: I will add you to my WhatsApp group where you can join our supportive local community and share your wins with the group

8. Nutritional Coaching

  • Check your package to see your level of nutritional coaching support

  • Basic support includes providing your macro count; our app gives you recipes to help you achieve your goals

  • Additional nutrition advice is available for an additional fee

  • Nutritional guidance is provided for general wellness purposes and does not replace advice from a registered dietitian or medical professional 

9. Client Accountability

For best results, clients are expected to:

  • Stay accountable to their training plan and attend scheduled sessions consistently

  • Follow their prescribed training programme and macro count as closely as possible

  • Communicate openly about challenges or barriers to progress

  • Take an active role in their fitness journey

10. Online Programme Terms

  • Online programmes are created bespoke for each client and are for personal use only

  • Programmes may not be shared, reproduced, distributed, or used for commercial purposes

  • Access to online programmes is granted for the duration specified at purchase

  • We reserve the right to update or modify programme content at any time to ensure your continued progress and safety

  • Video content within programmes remains the intellectual property of Coached by Mils

  • No refunds are provided for online programmes once access has been granted, except as required by law

11. Conduct and Termination

11.1 Expected Conduct

  • Clients are expected to behave respectfully towards the trainer, other clients, and facility staff

  • Clients must adhere to the rules and regulations of the training facility

11.2 Right to Terminate

  • We reserve the right to terminate services immediately without refund if a client behaves inappropriately, fails to adhere to facility rules, or breaches these terms

  • Clients may terminate services by providing written notice, subject to the minimum commitment period

12. Intellectual Property

All training programmes, materials, video content, and resources provided remain the intellectual property of Coached by Mils and may not be reproduced, shared, or used for commercial purposes without written permission.

 

13. Data Protection

We collect and process personal data in accordance with UK data protection laws. Your information is used solely for the purpose of providing our services and will not be shared with third parties without your consent, except as required by law.

14. Changes to Terms

We reserve the right to update these Terms and Conditions at any time. Clients will be notified of significant changes, and continued use of our services constitutes acceptance of updated terms.

 

15. Limitation of Liability

Our total liability to you for any loss or damage arising from our services shall not exceed the amount paid by you for those services.

16. Governing Law

These Terms and Conditions are governed by the laws of England and Wales. Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.

18. In person - Training Location:

In-person training takes place at The Gym Group Sweet Briar, Units 2-3, Sweet Briar Retail Park, Norwich NR6 5DH (Free parking available). Please note: You will need to join as a member of The Gym Group to access the gym—this membership fee is not included in Coached by Mils personal training packages. 19. Agreement to Terms

By booking or purchasing any service from Coached by Mils, you acknowledge that you have read, understood, and agree to be bound by these Terms and Conditions. We reserve the right to update our terms and conditions, as well as our prices, at any time and without prior notice. Any changes will take immediate effect.

20. Holiday Claus​

  • Amelia Morgan will provide clients with as much notice as possible of any planned holiday leave.

  • If a session is missed due to holiday leave, clients will have the opportunity to rebook it within Amelia Morgan’s working hours on weekdays between 5:00am and 2:00pm, subject to availability. Please note that rebooked sessions may not be accommodated at your usual booking time.

  •  Missed sessions should be rebooked within the same month where possible, but may be banked for up to two months from the original session date. Any sessions not used within this time will expire.

  • Where possible, a Saturday training day may also be offered to provide additional rebooking options. All rebooked sessions are offered on a first come, first served basis.

  • If sessions are not rebooked within the two-month period, no refund, discount, transfer, or credit will be given for the missed sessions or monthly fees.

Coached by Mils — Online Programme Terms & Conditions Extended

1) Programme delivery (online only)

This is an online coaching programme delivered via the Trainerize app (and any resources provided within the programme). There are no face-to-face sessions with Mils included in this programme. Any support offered (e.g., optional drop-in calls, in-app messaging, guidance documents) is provided remotely.      

2) Health screening & medical responsibility

By purchasing and taking part, you confirm that you are fit and well enough to exercise and make changes to your nutrition and lifestyle. If you are pregnant, postnatal, injured, have a medical condition, are taking medication, or have any concerns, it is your responsibility to speak to your GP/doctor (or relevant healthcare professional) before starting. If in doubt, do not begin the programme until you have medical clearance.

3) Your responsibility during training

You agree to:

  • Follow the programme instructions and exercise demonstrations as provided

  • Train within your own limits and choose appropriate weights/intensity

  • Stop exercising if you feel unwell, dizzy, faint, or experience pain (beyond normal training discomfort)

  • Seek medical advice where needed

4) Not medical advice

All training, nutrition frameworks, and educational content are provided for general information and fitness support only and are not medical advice. The programme is not intended to diagnose, treat, cure, or prevent any disease.

5) Results disclaimer

Results vary from person to person and depend on consistency, lifestyle, recovery, stress, and individual factors. No specific results are guaranteed.

6) Payments, refunds & cancellations

This programme is sold as an 8-week online programme. Payments are non-refundable once access to the programme/app content has been provided.

7) Intellectual property

All programme materials (workouts, guides, handbooks, trackers, videos, and written content) are for your personal use only and must not be copied, shared, resold, or distributed.
